Maternity Leave Cover—Full Time Office Manager
Beacon's year-round staff are committed to a long-term vision of growth and excellence for our camp’s ministry. They manage the day-to-day operations, facilities, and administration, while also providing oversight for seasonal volunteer staff. This allows volunteer session staff to focus on the most important role: ensuring that campers have a great week and grow closer to God through their time at camp.
Full-time staff are expected to maintain a healthy daily walk with the Lord and demonstrate active involvement and membership in a Bible-believing church, chapel, or assembly.
Serving as year-round staff at Beacon is a calling to be a servant of the Lord, desiring to see Beacon’s mission accomplished to His glory. Each staff member must be aligned with Beacon’s Mission and Statement of Faith.
All year-round staff are remunerated by Beacon Bible Camp. Their work is made possible through the generous financial support of individuals and churches who believe in the mission of Beacon’s ministry, via donations to Beacon Bible Camp or Friends of Beacon Ministries.
Job Description
Our current Office Manager, Katie, has been serving since January 2024 and is now expecting her first child. As we celebrate this exciting milestone for Katie and David, we are also looking for someone to join our team to provide maternity leave coverage from July to December 2026. Beacon staff and volunteers will also provide additional support as needed during this leave coverage.
The successful candidate would begin training in late May or early June to allow for a meaningful orientation and transition period. Katie will also make herself available, as possible, to provide support and handover at the end of July. She plans to return to work in January 2027.
This is a full-time salaried position, based at our camp facility in Torrance, Ontario during the summer, with the option to work remotely during the other seasons.
General Responsibliites
The Office Manager coordinates all administrative tasks in support of Beacon Bible Camp operations. This includes communications, database and document management, and Tuck Shop oversight. As often the first point of contact for campers or families, the Office Manager must be able to represent Beacon appropriately and professionally.
For the duration of this leave coverage, the successful candidate will oversee tasks and activities specific to the summer and fall seasons.
Key Areas of Responsibility
General
Acknowledge, sort, and distribute incoming mail and email.
Work closely with the camp accountant on financial administrative procedures.
Welcome campers, visitors, and staff in person, by email, or on the phone; answer or refer inquiries as needed.
Maintain business inventory and equipment; monitor stock, anticipate supply needs, and place orders.
Maintain the camp database, updating camper information (general and medical).
Manage and update Beacon’s social media platforms (Website/Blog, Facebook, Instagram, WhatsApp).
Organize, file, and maintain camp documents.
Campers
Process applications for summer, fall, and winter sessions.
Communicate with parents/guardians regarding camper registration and information.
Sort and deliver mail addressed to campers.
Organize travel arrangements and maintain Safe Arrival procedures.
Process summer session campers upon arrival.
Relay medical notes, allergies, or messages to the camp medical staff.
Maintain first aid supplies in the Health Centre and first aid kits.
Support the Executive Director in developing and maintaining marketing plans, including social media updates, research, and external communications.
Staff
Process and maintain volunteer staff applications, including police checks, and training records.
Provide camper information and transportation details to session directors for all sessions.
Recruit, select, train, and supervise office helpers during the summer, if necessary.
Support the Executive Director in maintaining accurate staff documentation.
Rentals
Manage facility rentals. This includes responding to inquiries, managing bookings and the rental database in CampBrain.
Collect deposits and invoicing, and handle post-rental follow-up.
Coordinate rental requests and requirements with full-time staff.
Identify needs for additional support in the kitchen, lifeguarding, or camp equipment.
Tuck Shop
Process online camper and staff money deposits for Tuck Shop use.
Manage inventory, place orders, and authorize clearance sales.
Recruit, train, and supervise Tuck Shop helpers during the summer.

Reporting and Working Relationships
The Office Manager reports directly to the Executive Director and works closely with the Facilities Manager and Hospitality Manager.
